Quick start guide
New to Nanny Admin? In just a few minutes, you’ll be up and running with everything you need to track hours, expenses, mileage, leave, and more.
Before reading this article, please make sure you have downloaded the Nanny Admin app, and have signed up and logged in.
Let’s get started:
1. Set up your Family with at least one Nanny
Before you can begin adding entries, you’ll need to set up or join a family. This ensures all records are assigned correctly and reports are calculated accurately.
- Go to Menu > Families
- Tap Create a family or Join family
- Follow the prompts to enter important family details (such as shift rates, paid leave entitlement, and mileage settings)
- Invite others to join the family as needed
- Each family must include one nanny.
- If you’re a parent, you’ll need to invite your nanny to join after creating the family.
- If you’re a nanny setting things up yourself, you’ll automatically be added as the assigned nanny.
Worth noting: Anyone can create a family, but only family owners (parents, or nannies who create a family) can make edits later.
2. Add your records
- Tap Add from the bottom navigation
- Choose the record type you want to track: Time, Leave, Expenses or Trips
- Complete the form and submit the entry (all mandatory fields will be marked with an asterisk)
- Make sure you tag the correct nanny/family where required
Your records will be stored automatically and available to review in the Records section.
3. View, manage and export your records
- Tap Records from the bottom navigation
- Switch between Time, Leave, Expenses and Trips using the tabs at the top
- Tap an entry to edit or delete it
- Use the filters to find the records you need
- Tap the download icon to export records as a .PDF or .CSV file
4. View a summary of what’s owed
For an overview of totals owed across Time, Leave, Expenses and Trips:
- Tap Summary from the bottom navigation
- Use the filters at the top to adjust the date range or filter by child/nanny/family
- View at-a-glance totals including hours worked, leave taken, and amounts owed
- Tap More details on any section to dig deeper
If you’re looking for a full list of records, you can export your Records instead.
Important notes
- A family must be created or joined before any records can be added
- Each entry must be correctly tagged (nanny/family) to ensure accurate reports
- The Summary reflects billable Time records only. Non-billable entries are tracked for reference but not included in calculations (for example, hours already covered by a fixed salary).
- Parents and nannies see the same core app structure but with slightly tailored functionality
Pro Tips
- Use the calendar view in Records to get a visual summary of your month
- Mark Time entries as non-billable if they’re for reference only and not to be included in pay reports
- Family owners can update hourly rates and mileage settings anytime by editing Family details
