How to generate summary reports

The Summary in Nanny Admin provides a quick overview of key data for time, leave, expenses, and trips. You can customise reports by filtering for specific families, nannies, children and date ranges.

There are two ways to generate reports in the app:

  • Summary view (explained below) for a visual overview of totals owed.
  • Record export to download a full list of entries in .CSV or .PDF format. Learn how to export records →

Follow this guide to generate and refine data using the Summary view.

1. Open the Summary

  • Tap Summary from the bottom navigation.

2. Filter by family, nanny or child 

  • For nannies: If you’re part of multiple families, use the Families filter to view data for a specific family. 
  • For parents: If your family includes more than one nanny, use the Nannies filter to view data for a specific nanny. 
  • Optional: Filter by a specific child

3. Optional: Adjust the date range

  • By default, the report will display data for This month, summarising all recorded entries.
  • Tap This month at the top of the screen to edit.
  • Set a custom date range.
  • The report will update automatically to reflect the date range. 

4. View your auto-calculated summaries at a glance

  • At the top of your summary, you’ll see the total amount owed, calculated from all billable Time records, Expense records and Trip records
  • Below this, you’ll find a breakdown by record type:
    • Time: Total billable hours and total balance owed
    • Leave: Total leave taken (paid, unpaid, and sick) and the remaining paid annual leave for the year
    • Expenses: Total number of expense entries and total amount owed
    • Trips: Total distance travelled and total mileage owed

5. Explore detailed summaries

  • Once filters are applied, you can dig deeper into your data by tapping More details next to each summary type.
  • Note that date filters must be set from the main Summary page before accessing these detailed summaries.

Important notes

  • The date range must be set on the main Summary page. It cannot be changed from within each detailed summary.
  • Summaries will update automatically based on the filters applied on the main Summary page.
  • If records are missing, ensure the correct filters are selected.
